A: CORE PURPOSE OF
THE ROLE:
Assists the Manager -Support Services and Finance in the preparing
of HakiElimu accounting records according to approved accounting standards and
other guidelines issued by the National
Board of Accountants and Auditors, which are in line with
the International Accounting Standards.
He/she is also responsible for the successful management of
funds by ensuring that all the requirements, regulations and compliance are
being adhered to. S/he will be assisting the
Accountant in reporting donor funds management.
To maintain and prepare HakiElimu’s accounting records according
to approved accounting standards and other guidelines issued by the National
Board of Accountants and Auditors, which are in line with the International
Accounting Standards.
B: MAIN RESPONSIBILITIES:
a) Documents Management, Reporting and Auditing (40%)
• Preparation of accounting monthly reports in relation to
performance.
• Examination of finance documents to ensure they are accurately
supported, approved, coded, and imprest is retired timely as per Financial
Regulations.
• Reviewing and endorsing all payments/transactions.
• SAGE posting of payment vouchers and petty cash vouchers,
printing the trial balance and relating with individual budget codes.
• Follow up bank requirements in relation to maintaining
bank accounts.
• Responsible for currency transfers and maintenance of Bank
balances.
• Prepare month-end bank statement reconciliations.
• Preparation of accounting monthly reports in relation to
performance.
• Prepare Budget vs Expenditure report using Sage accounting
software. Maintain records of accounting documents for verification at any
given time, and to be easily available in the preparation of year - end Financial
Statements..
• Participate in the preparation of Project Financial reports
of respective Development Partners.
• Participate in internal and external audits.
• Examine finance documents to ensure they are accurately
supported, approved, coded, and imprest is retired timely as per Financial
Regulations
• Participate in the end of year Financial statements
preparations i.e Statement of comprehensive income, statement of financial
position and Cashflow report.
b) Budgeting (10%)
• Contribute to developing budgets that are commensurate to
HakiElimu projection and manageable.
• Income budgets and cash flow projections developed in
relation to budgets.
c) Funds management and compliance (20%)
• Assist the Assistant Accountant and SSAF Manager in the
management of funds expenditures;
o including Imprest management,
posting of vouchers to the accounting software,
o reconciliations and project/core
fund reporting.
• Request for disbursements from Development Partners (as
per agreement), prepare and send out promptly acknowledgement letters for
receipts.
• Ensure that the contracts, Policies and Procedures are in
accordance to the National
Laws (ensure statutory returns paid within due dates and returns
filed timely).
d) Journal Entries and Posting (20%)
• Sage software posting of payment vouchers, Imprest
expenditures and petty cash vouchers, printing the trial balance and relating
with individual budget codes.
e) Other Duties (10%)
• Serve as a the fundraising committee member and
participate in proposal budget development.
• Participate in the development of the Department’s work
plans and reports.
• Other duties as may be assigned by the Supervisor.
C: PERSONAL
SPECIFICATIONS, BEHAVIOURS AND CONDUCT:
a) Minimum Skills and Experience-Essential
• Bachelor Degree in Accountancy or B. Com. Majoring in
Accountancy/ Finance.
Possession of CPA will be an added advantage.
• Strong Financial and Grants Management skills and
experience.
• Good knowledge and understanding of NGO statutory and
compliance requirements.
• Understanding of Project Cycle Management (including
problem/objective trees, stakeholder analysis, project planning, budgeting).
• Fluency in both Kiswahili and English Languages (Spoken
& Written)
• Excellent Analytic and Reasoning skills
• Ability to work independently and in a team
• Competent in Word, Excel, and PowerPoint and accounting
software such as
Pastel, Sage etc.
b) Minimum Skills and Experience- Desirable
• Applicable experience in non-profit governance, administration,
grants management and compliance.
• Experience of working in a multi-cultural environment.
• Ability to train and support staff to understand
developing and managing donor relationships and funding.
c) Personal Attributes and Behaviours
• Proven ability to manage multiple priorities at the same
time. In particular, the experience of managing multiple budgets at the same
time
